Chancellor’s Memorandum

No. A- 254

September 7, 2006

FACILITIES USE BY NON-UNIVERSITY AFFILIATED GROUPS[1]

[Supersedes Chancellor’s Memorandum No. A-242 dated October 23, 2002]

As a community partner and neighbor, Purdue University Calumet will make its facilities available for civic and community purposes when the use supports the university community service mission and when the facilities are not otherwise in use for university educational purposes.  At the university’s discretion, and where it is not in conflict with the university’s mission, designated facilities may be available for a fee for events that do not meet the community service criteria.

Requests for the use of Purdue University Calumet facilities by non-university groups are to be directed to the Office of Facilities Services.  That office shall then

-                      consult with the group to determine the facilities required and the nature of the event,

-                      determine whether the facilities required are available on the date and time requested

-                      approve the event as a community service if all of the following criteria are met:

1)   it has an educational or community purpose

2)   it draws its audience from the Calumet region

3)       it does not charge an admission fee

4)       it is a single session of a day or less

4)       its purpose is not in conflict with the educational purposes of

       Purdue University Calumet

-                      There will be no rental charge for the use of facilities for events that meet the above listed criteria.  However, groups will be charged, in accordance with published rates, for special room setup, use of audio visual equipment, food and beverages.

-                      Facilities Services will then arrange for a letter of agreement between the non-university group and the university through the Office of the Business Services and Comptroller.

If the Office of Facilities Services determines that the event does not meet the guidelines for a community service event, the requesting group will be referred to the Vice Chancellor for Administrative Services, and disposition will be determined in accordance with Executive Memorandum No. B-47.  In either case, only those requests, which require unique university facilities and/or conform to the university’s community service mission, will be approved.
