Department Heads Meeting Monday, July 1, 2002

Minutes

I.  Call to Order.  Chancellor Cohen called the meeting to order introducing Mr. Newsom who presented Item II on the agenda.

II.  Fair Labor Standards/Overtime Requirements.  Vice Chancellor Newsom provided an overview of the presentation and referenced the Fair Labor Standards Act as it affects “equal pay for equal work” and the Purdue University Business Office Memorandum No. 175 of July 1984 as it applies to wage administration policies and overtime pay for Clerical/Service and Operations/Technical Assistants staff.  Mary Beth Rincon clarified the purpose and requirements of this pay policy and overtime, procedures, penalties, frequent violations, and the responsibility of supervisors.  Tom Ryan reviewed record keeping for staff with the sample timecard provided.  There was good discussion, questions answered about overtime and compensatory time with Chancellor Cohen reiterating the responsibility of department heads communicating the policy to all supervisors and to pay particular attention to this law.  Chancellor Cohen reminded us that our budgets are affected by overtime, and that the university is in jeopardy if incorrect practices are permitted.

III.  Priorities Profile - Next Steps.  The Purdue Calumet Profile that highlights the five principles that define the context in which we will implement our strategic vision for Purdue Calumet was distributed.  Some table discussion time was spent on the five statements with each group submitting their points on the most important things we could do as a university to make these principles a reality.  Points were discussed and recorded from each table and are to be submitted to Lori Durham for recording and future discussions.

IV.  How We Use These Monthly Meetings.  Chancellor Cohen reviewed the purpose of the monthly department heads meetings stating that the department heads are the heart and soul of our organization and the role of communication of agenda items is important for each department.  Chancellor Cohen stated that recommendations of agenda items should be sent to him or Lori Durham a week or so prior to the monthly meeting.  Agenda items can be sent through your vice chancellors and your vice chancellors will introduce the agenda item.  Chancellor Cohen said progress of our strategic plan updates may be added to the agenda on a regular basis.  As part of agenda items, plans for Fall are to work on supervisory skills.

Chancellor Cohen said department heads should continue to make these meetings a priority and if the department head cannot attend, a substitute should be sent to the meeting with prior notification so he or she can be acknowledged as a representative of the department.

V.  Announcements, Q & A.  Dean Michael Gealt announced an award presentation received for PUC having the highest percentage of faculty representatives in the American Society for Engineering Education. 

Chancellor Cohen expressed extreme gratefulness to Dolores Steuer-Wagner and Bill Lieber for their role in organizing the Chancellor’s Gala and the raising of $70,000 for Chancellor’s Scholars Endowment.

VI.  Adjournment.  Without further business the meeting was adjourned.
