CHANCELLOR'S MEETING WITH DEANS, DIRECTORS AND DEPARTMENT HEADS
Minutes of January 7, 2002
I.
Call to Order. Chancellor
Cohen called the meeting to order reviewing the scheduled agenda items.
He thanked UPS staff present for hosting the continental breakfast for
this meeting.
II. United Parcel Service (UPS) “Earn and Learn” Partnership. Rick Riddering introduced the UPS personnel attending the meeting:

Riddering thanked PUC and UPS staff on the agreement of this strategic
partnership with Pat Kretzman and Linda Baer coordinating the agreement.
John Hampton provided some history of UPS and reviewed the “Earn and
Learn” program as a student financial assistance package offered to students
who work part-time at UPS. Students
may acquire valuable work experience with career advancement opportunities at
UPS while receiving $3,000 annually for tuition, books, fees and software.
Student loan money is also available through the “Brown Bucks”
program. UPS is currently
partnering with 26 schools with up to $23,000 available assistance to PUC.

III.
New Policy and Report Form for First Injury/Illness.
Mary Beth Rincon reviewed the OSHA regulation change and process for
reporting injuries of employees. She
said that if you have an employee who is ill or injured, the supervisor has the
responsibility to complete the Purdue University First Report of Injury
form. An employee is defined as
anyone who receives a paycheck. The
supervisor is to complete the report form for all employee work-related injuries
or illness within 24 hours of the incident.
A copy of the completed form is to be sent to Jerri Taborski in Human
Resources within 48 hours of the incident.
If an employee has lost time (other than the date of injury) or has
obtained medical treatment, the supervisor is required to call Liberty Mutual
Claims Service Center.

IV.
Personnel Evaluations and Salary Allocations – Interactive Session;
Discussion and Planning for the Future. Chancellor Cohen opened the
discussion reviewing the responses received and inconsistencies in the
evaluation process. In response to
departments having written criteria and standards for conducting evaluations,
responses received were ten “no,” twelve “yes,” three “in process.”
Chancellor Cohen relayed the variance of awareness, understanding and
implementation of the process; that there is definite agreement of work to be
done; that it be useful if we work on the things we are doing well and build on
those; and, different strengths are evident in different processes.
There was further discussion on the process, training, facilitating,
frequency, becoming more people-driven in relation to the strategic plan, and
strong agreement about it being worth our time.
A
questionnaire was e-mailed prior to this meeting and used as a discussion tool
around each table at which department heads commented and submitted.
Chancellor Cohen suggested that department heads return to their units
and change, strengthen, build on their strengths in their process, and work the
evaluation process up to the vice chancellor level.
Comments from the questionnaire will be collected and items identified
that are needed for consistency and future discussion.
V.
Announcements, Q & A.

Beth Rincon introduced Ann Hatches, Assistant Director, Human Resources.
Gary
Newsom announced that the Student Housing project and marketing assessment
completion should bring a decision by April 15, 2002 as to whether PUC will be
proceeding. PUC will be shadowing
IUPU Ft. Wayne student housing project. If
decision is a “go” the preliminary plans will be completed by January 31,
contract by March, and occupancy by 2004. The
perceived site is the 11-acre athletic field south of 173rd street,
approximately 200 units, 500 beds.
Gary
Newsom stated that we be cautious how we respond to requests for
information. Those requests
received for student information should be directed to the Registrar; requests
received on employees should be sent to the Director, Human Resources; and
subpoenas should be directed to Gary Newsom who will confide in our licensed
university counsel.
Chancellor
Cohen said that the Gyte renovation is scheduled for mid-June with construction
ongoing for two years.
He
also said the 2003-2005 Legislative Request will include the addition to the
Gyte Building and Annex renovation.
