CHANCELLOR'S MEETING WITH DEANS, DIRECTORS AND DEPARTMENT HEADS
Minutes of February 5, 2001
I. Call to Order. Chancellor Yackel called the meeting to order.
Introductions were made of new staff. Leo Bryant introduced Sarah Howard, Assistant Dean of Students, previously with DePaul University. Sarah's responsibilities will include student related issues, student problems and assessment progress.
Mary Beth Rincon introduced Shelby Topping, Training and Performance Development Specialist, previously training director with Centier Bank.
II. Chancellor's Report. The State legislature is facing a budget crisis. The current proposal for higher education funding during the next biennium would actually decrease our state support by about $500,000. All new funding for higher education would go to the community college system. At this time it seems quite unlikely that our capital request (Gyte addition) will be funded this year. The next opportunity to request a capital project would be the 2003 legislative session. With this probable delay facing us, we will consider several renovation projects in Gyte to tide us over until new construction can be realized.
The budget process for 2001-2002 will be different than in past years. President Jischke has proposed to the Board of Trustees that each campus have an ongoing strategic planning group as a part of the budgeting process. This proposal is recommended for adoption by the Board at their February 16 meeting. If adopted by the Board, the strategic planning committee for Purdue University Calumet will begin meeting in early March. Dr. Rabindra Mukerjea, the newly appointed Director of Strategic Planning and Assessment will meet with the PUC committee to provide coordination with the committees on the other campuses. Chancellor Yackel will be requesting nominations for individuals to serve on the strategic planning committee so please be thinking about someone who would represent your area on this important committee.
President Jischke has had extensive experience in using annual budget reallocations to achieve strategic goals. We should expect that all units will be expected to trim their budgets in order that the funds can be reallocated to strategic initiatives which are identified. This process places great responsibility on the strategic planning committee and ties the budgeting process to the strategic goals of the campus.
III. Records Management Project Update. (C. Robison, L. Durham) Colleen reviewed the objectives of the project and the progress since September. The Records Management Project Team was formed with representation from across campus. The timeline of the project has been modified slightly since the last presentation, with the team conducting the major progress between February and June. Five subcommittees have been formed to address the five deliverables with each subcommittee having prepared a project plan to accomplish their deliverable. Official announcement of the project to the campus community was made February 2. Two significant portions of the project will be coming up this month: the inventory of the types of files maintained by each department and the "before" space usage study. Colleen stressed the help required by each department head and coordinator with cooperation and swift response to these upcoming activities. Specific distributions will be sent for each activity of this project.
IV. Announcements/Q&A. Cliff Chancey reported that the search committee for the Provost position at PWL is coming to the end of its charge and will have brought five candidates to campus with the position probably being filled next week. Chancellor Yackel reported providing input on the selection of candidates with his position on that committee. A question was posed as to how the Provost position will affect regional campuses. C. Chancey responded that it remains to be seen and that it will probably be a front-line position.
Mary Ann Bishel announced February being financial aid awareness month. The project encourages students to apply for financial aid prior to March 1, 2001 for Fall 2002 semester. College Goals Sunday will be held next week at PUC and the Hellenic Center to assist students and families in their financial aid applications. This is a combined effort with other universities in the area.
Doug Sharp reported on GroupWise, the possible replacement for LOTUS CCMail and Organizer. Pilot teams have been identified to test and assess. This assessment will run four weeks to focus on the capabilities, until late March.
Gloria Smokvina reported on the Chancellor search and their process of identifying candidates to bring on campus by the end of March.
LASS Dean search is coming to a conclusion as reported by Catherine Murphy. Three candidates have been identified; committee will meet tomorrow.
Sandra Singer reported that Shomir Sil is heading the search for the Assistant Vice Chancellor for Academic Affairs and Director, University Division, which is moving forward at a good pace with the additional two interviews.
Ed Andrews commented on the President's subject of reallocation –that it is good, but questions the timing of it being in spring rather than fall.
V. Adjournment. There being no other business, Chancellor Yackel adjourned the meeting saying it be recorded this meeting finished in record time, 8:30 am.
